Your privacy matters to us. As a regulated mental health practice, protecting the confidentiality of the people we work with is central to how we operate. That applies not only in the therapy room, but in every interaction you have with us, including this website.
This policy explains what information we collect through this website, how it is used, and the choices you have. It applies to this website only. The confidentiality of your clinical records and of the therapy relationship itself is governed by the separate confidentiality agreement you review and sign before your first session, and by the legislation described in section 8.
Take Care Psychotherapy is a private mental health practice based in Mississauga, Ontario, providing counselling virtually across Ontario and in person. In this policy, “we”, “us”, and “our” refer to Take Care Psychotherapy.
Our clinicians are regulated health professionals. Julia Sivarajah is a Registered Psychotherapist with the College of Registered Psychotherapists of Ontario, and Miriam Blond is a Registered Social Worker with the Ontario College of Social Workers and Social Service Workers. Both are bound by their college's standards on confidentiality and record-keeping.

This website has no contact form, does not require an account, and does not process payments. We collect very little.
Information you choose to give us
If you contact us by telephone, WhatsApp, or email using the details on this site, we receive whatever you choose to share. That is typically your name, contact details, and a brief description of what you are looking for. We use it only to respond to you and, if you decide to go ahead, to arrange a consultation.
Information collected automatically
Like most websites, our hosting provider records standard technical information when a page is requested: your IP address, browser type and version, device type, the pages you viewed, the date and time, and the site that referred you. This is used to keep the site working, diagnose faults, and understand in aggregate which pages are useful.
What we do not collect
We do not ask for health information through this website, and you should not send clinical details by email or WhatsApp before your first session. We do not sell or rent personal information to anyone, for any purpose, ever.
Appointments are booked through Jane, a Canadian practice-management platform. When you select a booking link on this site you are taken to Jane's own booking page, where any information you enter, including your name, contact details, and payment information, is collected and stored by Jane on our behalf as our service provider.
Jane hosts data in Canada and is built for regulated health practices. Its handling of your information is governed by its own privacy policy, which we encourage you to read at jane.app/privacy.
Clinical records created in the course of therapy are stored in Jane and retained in accordance with our colleges' record-keeping requirements, described in section 7.
A cookie is a small text file that a website stores in your browser. This site sets no advertising cookies of its own and does not use your visit to target advertising to you.
We use Google Analytics to understand, in aggregate, how this site is used, so we can improve it. It tells us things like which pages are read and how people arrive, not who you are. Google Analytics sets cookies and may receive your IP address and the pages you visit, and information may be processed outside Canada, including in the United States. Google's practices are described at policies.google.com/technologies/partner-sites.
Nothing you enter into a form on this site is sent to Google Analytics, and analytics data is never combined with your clinical record.
You can set your browser to refuse or delete cookies. Doing so will not prevent you from using this site.
We offer WhatsApp as a convenient way to make first contact. Please be aware that WhatsApp is a third-party service operated by Meta, and that messages you send pass through their systems. While WhatsApp messages are encrypted in transit, Meta collects metadata about your use of the service, and we have no control over that.
For the same reason, ordinary email is not a secure channel. We ask that you use WhatsApp and email for scheduling and general enquiries only, and that you avoid sending detailed personal health information through either. Anything clinical is better discussed in session or by telephone.
Where we do receive messages containing personal information, we keep them no longer than needed and transfer anything belonging in your clinical record into Jane.
We do not share your personal information with third parties for marketing, and we do not sell it. We share it only in these circumstances.
With service providers who act for us, such as Jane for booking and records, and our website host. They may use the information only to provide that service to us.
With your consent, for example when you ask us to coordinate with your physician, another clinician, or a family member.
Where the law requires or permits it. As regulated health professionals we are legally obliged to disclose information in a narrow set of circumstances: where there is a risk of serious harm to you or another person, where we suspect a child is or may be in need of protection, in response to a subpoena, warrant, or court order, or where required by our college in the course of an investigation.
These limits on confidentiality are explained in full in the confidentiality agreement you sign before your first session, and we will always discuss them with you at the outset.
Enquiries that do not lead to an appointment are kept only as long as needed to respond, and then deleted.
Clinical records are retained for the minimum period required by our regulatory colleges. That is at least ten years after your last interaction with us, or, if you were under 18 at the time, at least ten years after your eighteenth birthday. Records are stored securely in Jane and destroyed securely at the end of the retention period.
Our handling of personal health information is governed by Ontario's Personal Health Information Protection Act, and our handling of other personal information by the federal Personal Information Protection and Electronic Documents Act.
Under these laws you have the right to ask what information we hold about you, to receive a copy of your record, to ask us to correct anything inaccurate, to withdraw consent for a particular use, and to complain if you believe your privacy has been mishandled. Some narrow exceptions apply, for example where releasing a record could cause serious harm, or where it would reveal information about another person.
To make a request, contact us using the details in section 11. We will respond within thirty days. If you are not satisfied with our response, you may contact the Information and Privacy Commissioner of Ontario at ipc.on.ca, or the relevant college.
This website is served over an encrypted connection. Booking and clinical records are held in Jane, which encrypts data in transit and at rest and stores it on Canadian servers. Access is limited to the clinicians who need it.
No method of transmission over the internet is completely secure, and we cannot guarantee absolute security. If a privacy breach occurs that could reasonably be expected to cause you harm, we will notify you and the appropriate authorities as the law requires.
This site links to third-party services, including our booking page on Jane, our Instagram profile, WhatsApp, and retail listings for Julia's books. We do not control those sites and are not responsible for their content or their privacy practices. We encourage you to read their policies.
